UTA is seeking an Assistant to work with a Production Arts Agent, based in our London office. The Agent represents Directors of Photography, Production Designers, Costume Designers and other Heads of Department for short-form projects (Commercials, Fashion and Music Videos).
The Assistant will have previous experience working within the Film, TV or advertising industries and be able to work within a dynamic, fast-paced and high-pressured environment.
You will be responsible for managing both your Agents' and Clients' schedules, seeking new opportunities across the industry and quickly gaining an understanding and knowledge of clients' work and specific requirements, ensuring the smooth running of your Agent's office.
What You'll Do:
Your responsibilities will include, but not be limited to:
• Managing the Agent's and Client's diaries
• Assisting the agents by interacting with the artist roster and production companies.
• Requesting client spots from relevant production companies to add to the agency library for reeling and marketing. Keeping track of client's work
• Submitting artist film videos to awards ceremonies for nomination consideration.
• Posting to our Instagram account
• Supporting the agent on updating client showreels, web pages and CVs when required.
• Creating tailored reels for clients.
• Watching client work and keeping up to date with the industry output
• Creating and submitting Deal Memos
• Providing cover for the agent when they are away from the office.
• Answering the phone, transferring calls to agent, taking messages and covering for colleagues when they are away from their desks.
• Processing invoices, tracking client working hours/days, submitting client expenses and other basic accounting tasks on an ad hoc basis, working closely with our Accounts team.
• Setting up and co-ordinating meetings for the agent and their individual clients.
• Attending industry events when required.
• Adhoc admin tasks
• Supporting out US colleagues when needed
What You'll Need:
• Some prior production or agency experience is advantageous.
• An interest in the craft of filmmaking.
• General understanding of the entertainment industry and the nature of a talent agency.
• Strong people skills, proactiveness and positivity
• Fantastic organisation skills, and ability to oversee multiple projects on the go.
• Entrepreneurial mindset and a can-do attitude.
• Strong verbal, written and telephone communication skills.
• Familiarity with Microsoft products (Outlook, Word, Excel).
• A high level of accuracy and attention to detail in your work.
• Discretion at all times, particularly when dealing with sensitive client matters.
• Experience and knowledge of the APA terms and conditions would be beneficial.
• Experience of using social media platforms.
• Ability to prioritize a busy workload.
