Executive Search Project Coordinator

As Project Coordinator for the Executive Search practice, you are responsible for managing the end-to-end candidate process for our Blue Chips Clients, the scope of work includes creating job descriptions, generating progress reports, scheduling candidates, as well as managing client relationships while ensuring the search and interview process is seamless.
The salary range for this role is $85,000 to $115,000 commensurate with experience and skills.
Location: New York, NY
In this role you'll:
• Craft job descriptions, initial and weekly Client status reports, interview materials, audits, as well as format candidate resumes.
• Facilitate search process by scheduling internal/client progress calls as well as coordinating client/candidate meetings.
• Handle client requests and maintain client satisfaction through high touch relationship management.
• Track the progress of your searches and proactively ensure all tasks are completed on time.
• Collaborate with the co-heads, recruiters, and other team members to ensure alignment and smooth execution of the search process.
• Coordinate background checks, reference checks, and other pre-employment assessments.
• Responsible for creating post search outreach materials.
• Maintain open communication with internal and external stakeholders to ensure a smooth process as well as address any issues or concerns that may arise.
• Maintain accurate and up-to-date records in the applicant tracking system (ATS).
• Identify areas for improvement in operational processes and suggest and implement solutions.
• Assist with special projects and events as needed.
What you'll need:
• Experience in executive search, strategy consulting, or a relevant professional services environment.
• Understanding of executive search across the Sports, Media, Entertainment, and Digital Consumer sectors.
• Superior project management skills with demonstrated expertise working in fast-paced, high-performance environments where managing multiple projects is the norm.
• A strong sense of curiosity and an ability to ask questions thoughtfully and thoroughly.
• Analytical mindset with the ability to identify and solve problems.
• Strong organizational and planning skills coupled with extreme attention to detail.
• A willingness to learn and adapt in a dynamic work environment with the ability to think on your feet.
• Excellent communication skills shown through clear, structured, and concise written and verbal presentation.
• Collaborative team player with strong interpersonal skills.
• Proficiency in using applicant tracking systems (ATS), Cluen Encore, databases, and other sourcing tools ie. Linkedin Recruiter.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Undergraduate degree required, postgraduate degree a plus.
