WHAT IS THE ROLE
This is an opportunity for a highly organised coordinator to work within an exciting International organisation and to be part of a global fast paced and dynamic team. This position requires a high degree of professionalism, accuracy and adaptability.
This position is responsible for handling the operational and administrative activities to support our learning and organization development programs and solutions. This position primarily supports Viacom International Media Networks (VIMN), while also supporting regional and wider global programs as needed.
Experience in HR and/or L&D, supporting at Senior Management level within an International based Company is advantageous.
Responsibilities:
Program Logistics (30%)
• Contribute to the planning and delivery of training programs/Interventions, processes and client-specific solutions
• Handle room reservations, materials, catering, equipment and room set-up – support International when required
• Distribute and track all program communications, including pre-work and follow-ups
• Plan and manage program launch and close events
• Contribute to a positive attendee experience by anticipating and responding to participant and facilitator needs
• Manage all logistics for external executive development programs: nomination and enrollment, participant and manager communication, updating HR Generalists
System Administration (15%)
• Act as system admin for key platforms such as Oracle, iCoach, LD inbox
• Manage courses, enrolment, completions and reporting in Learning Management System (Oracle)
• Liaise with external assessment providers – handle participant set-up and distribution of results and reports
• Collaborate with fellow system administrators on identifying and recommending system enhancements
• Provide reporting and data insight to Client facing team
• Produce dashboards and provide analytical insight; L&D stats such as traffic to Learn system, program attendance, Newsletter click through insights and recommendations based on data
Administrative Support (35%)
• Main point of contact for the department; internally and externally
• Extensive diary management
• Prepare meeting agendas, create presentations and materials
• Book travel, arrange visas and prepare travel itineraries
• Process expenses
• Provide general assistance to the VIMN OPD team where required
• Stays connected to OPD coordinators
Budget and Vendor Management (10%)
• Manage contracting process with vendors and legal
• Handle currency challenges for International vendors – ensuring resolution
• Create purchase orders
• Advise vendors on invoice submission process
• Track budget
Projects (10%)
• Respond to ad hoc requests for research, analysis, and coordination of projects across the team
Build monthly L&D Newsletters in partnership with Coms & culture team
