Job Title: Archive Coordinator
A little bit about our team:
The department consists of five specific areas of responsibility, all ultimately focused on the production and
distribution of WMG products. Research and Development helps define new product specifications and
processes for production; Product Data Management is responsible for defining product data standards and
keying data into systems; Studio and Archive Operations delivers production masters for physical and digital
manufacturing and archives the company master assets; Digital Production provides day-to-day production
support for WMG labels' digital releases and oversees production of digital assets, and Digital and Mobile
Operations manages the distribution of digital products to retail partners globally.
Your role:
In this role, you will work with one of the largest tape libraries in the world ensuring the protection, preservation,
and production of tapes that source some of the most iconic albums and unheard rarities in all of music history.
You'll work with both librarians and engineers, directly handle and distribute master tapes and other audio
sources to archive vendors, and ensure the accuracy of production and preservation through research, document
creation, and spreadsheet and database maintenance.
Here you'll get to:
• You will ensure that the proper tapes are being archived for a given release.
• You will locate final product and verify that all metadata is correct in relation to tapes pulled.
• You will create Archive Packing Lists detailing correct Artist, Title, Label, Sel #, Track Titles, and Source File
metadata, along with any other pertinent information needed for each release, providing these to the
archive vendors for reference and inclusion in the archives.
• You will update the Transfer Tracker document for archives needed for current production requests,
including the date sent for archive, where it was sent and when it is needed by.
• You will schedule pick-ups of archive supplies and tapes and address sourcing issues with vendors as they
arise (finding alt sources if tapes are problematic, etc.).
• Review files to ensure compliance with WMG Master Delivery Specifications
• Prepare master delivery reports documenting required assets including multi-tracks, stems and different mix
versions.
• Catalog and archive files to WEA Library server
• Replace and update with revisions as needed
• Coordinate retrieval of assets from WMG's global archive facilities both from physical carriers and cloud-
based storage solutions
• Assist in Digital Asset Management system development
• Support development in Master Delivery Report (WMG internal tool)
• Support development of Master Library System (WMG internal tool)
• You will receive and archive audio masters for new releases
• You will support Immersive Audio production delivering sources and receiving new mixes to archive
• You will research and provide best available audio and video sources for different product types (digital, CD,
vinyl, etc.) ensuring assets provided are of the highest quality and ideal for the intended use.
• You will perform asset research for business development initiatives (e.g., Dolby Atmos and high-resolution
offerings)
• You will coordinate digital transfers of master tapes involving database research and asset review to
determine which sources are masters to coordinate digitization
• You will arrange file delivery to requestors and create archival backups
• You will catalog assets into WMG's archive database and will upload content to DAM systems
• You will check-in and check-out physical assets and assist with retrieval. Requires ability to lift objects up to
25lbs daily while using ladders to retrieve assets from shelves.
• You will correct errors in our Master Library System (MLS) database based on research, tape box
information or additional information provided by archive vendors working with the tapes.
• You will assist non-archive librarians as needed.

• Familiarity with Excel and Outlook
• Knowledge of music industry processes past and present: Tracking / Mixing / Mastering / Duplication
• Familiarity with audio recording media formats
