Paid Intern - Office Assistant / PA

This is a Full Time Paid Internship

Overview: Reporting to the Operations Manager, the Office and Production Assistant will play a key role in managing all administrative responsibilities related to the office and HR functions. This dual role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively. You will be an integral part of our team, supporting both the administrative and creative sides of our operations. This is a fantastic opportunity for a candidate with proven office experience to gain more experience in the creative / production industry.

About You

This person will be required to execute tasks on behalf of the CEO, Managing Director, and Senior Management Team. The role will consistently utilize a high level of competency in organizational planning, problem solving, decision making and time management. Therefore the ideal candidate is:

Organized. You are dependable, detail-oriented, highly organized, and capable of handling multiple tasks at once.

Exhibits Excellent People Skills. You have strong written and verbal communication skills, allowing you to build strong relationships and clearly convey information to clients, vendors, and senior management in a professional manner.

Detail-oriented. Attention to detail is in your nature, you enjoy being precise and accurate but this doesn't stop you from working quickly.

A Problem Solver. You are a proactive self-starter who can think two steps ahead. When things are not going as planned, you maintain a calm demeanor and ensure the appropriate team members are informed. You excel under pressure and thrive in tight deadlines.

Film/Entertainment Lover. Interest in film/entertainment and the creative industry is a bonus.

70% of your time / Office Assistant tasks include but are not limited to:
Supporting the Operations Manager on daily assigned administrative tasks
First point of contact between the building management and the office for tasks such as parking passes, office repairs etc.
Answering phone lines and maintaining office calendars
Managing job postings and keeping track of candidates during the interview process
Maintaining cleanliness of kitchen and the office
Coordinating weekly lunches and planning office events
Assisting in onboarding and offboarding employees, including the verification of new employee's onboarding paperwork
Managing and coordinating time off requests and other needs from team members
Being proactive at managing additional miscellaneous tasks, anticipating needs and addressing them promptly to support overall team success

30% of your time / Production Assistant tasks included but not limited to:
Assist Account Managers and Account Coordinators with daily production tasks, such as:
Maintaining campaign documents, such as production timelines, trackers, feedback documents, etc
Uploading and downloading assets onto Google Drive, Box and internal servers
Sharing feedback from the client or team updates in project Slack channels
Take notes in client calls or internal production meetings
Quality checking all production assets for typos, inconsistencies and that it adheres to the client's feedback and brand guidelines
Conducting quote pulls to compile impactful lines from films, tv series or scripts
Participating in brainstorming sessions for new and existing campaigns
