About the Role
As Executive Assistant to the CEO, you will play a vital role in the overall success of the Company by ensuring the CEO can operate effectively, efficiently and fluidly by providing administrative and logistical support as called for in every unique situation.
This position requires the ability to be a master of time and schedule management while anticipating the needs of the CEO. You will need to be adaptable to constant change and be able to navigate ambiguity while remaining calm, composed and focused when things are uncertain or rapidly evolving. You will serve as the face of the C-Suite, an extension of the CEO, and must always operate with a high degree of professional courtesy and confidentiality. In addition to administrative responsibilities, you will also play a significant role in drafting and finalizing communications from the Office of the CEO and in planning, organizing and executing corporate events for the company.
Responsibilities
Support CEO with managing day-to-day tasks and calendars, anticipating needs, coordinating travel and related expenses, and maintaining confidential information with a high degree of accuracy
Prioritize and coordinate meeting requests with both internal and external stakeholders, organize and manage logistics for all meetings
Sit in on select meetings when requested, take notes and ensure follow-up
Monitor upcoming meetings and prepare supporting materials such as compiling information from past meetings to serve as background material
Accurately create and maintain a CRM for all of the CEO's contact information
Handle and screen incoming communications, including all correspondence - know when to flag correspondence, route correspondence to another member of the Executive team or prepare correspondence for the CEO's review
Play an active role in planning and drafting internal and external communications from the Office of the CEO
Work closely with the CEO's Chief of Staff to effectively and efficiently run the CEO's office
Take the lead on planning and organizing internal corporate events, including offsites and conference travel for both small and large groups of executives
Navigate company resources, build relationships, and interface with various departments on behalf of CEO to collect information, respond to requests, and obtain services
Act as a subject matter experts for policies and procedures
Escalate approvals and requests in timely manner
Proactively solve problems by being resourceful and anticipating needs
Requirements
Bachelor's degree, at least 5 years of administrative experience supporting senior executives - preferable in the entertainment or media industries - and the ability to demonstrate:
Exceptional organizational, project management, and problem-solving skills
Excellent writing and verbal communication skills
Energy level and maturity to work in a start-up culture where we also interact with Fortune 500 CEOs
Discretion and professionalism handling confidential information
Ability to operate with urgency and thrive in a fast-paced work environment
Ability to handle multiple priorities and make clear and timely decisions pulling in the appropriate people within the leadership team to get priorities achieved for the CEO
Exemplary follow through with minimal supervision
Proficiency in Google Workspace, Slack, Box, Airtable, Notion
Salary & Benefits
Salary Range: $105,000 - $120,000
Equity participation in management option pool (Series A company)
